Operations Manager – Customer, Inventory & Field Operations

AutoHVAC is hiring a detail-oriented Operations Manager to lead day-to-day customer, inventory, administrative, shipping/refund, and field-supervision activities. This role connects office operations with HVAC installation and project-assessment work, ensuring records are accurate, staff responsibilities are completed, inventory is controlled, and subcontractor work is supervised safely and professionally.

Responsibilities

  • Maintain accurate, complete and confidential customer records, including orders, memberships/subscriptions, quotes, installations, assessments, returns and refunds
  • Audit customer files regularly and correct or escalate missing, inconsistent or overdue information
  • Monitor inventory levels, receiving, allocations, damaged or returned items, stock adjustments and reorder needs; reconcile physical stock with system records
  • Coordinate shipping, delivery status, return authorizations and two-stage refund cases; verify documentation before any financial release
  • Review administrative and staff-admin duties against assigned responsibilities, deadlines, approvals and reports
  • Match staff work, customer records, inventory movements, shipping events and refund activity; investigate discrepancies
  • Prepare concise daily and weekly operational reports, exception reports and management recommendations
  • Assign, prioritize and track work for office and field employees; follow up until completion
  • Coordinate schedules among customers, employees, suppliers and subcontractors
  • Travel within the GTA with subcontractors to supervise HVAC installations and project assessments; this is an oversight role and does not replace licensed trade work
  • Confirm site readiness, scope alignment, documentation, customer communication, quality checkpoints and completion reporting
  • Delegate installation or assessment supervision to qualified employees when appropriate; define responsibilities, checkpoints and reporting requirements
  • Escalate safety, licensing, workmanship, customer, inventory, payment or scheduling concerns promptly
  • Protect customer information and maintain organized, audit-ready records
  • Identify process weaknesses and implement practical improvements, controls and checklists
  • Support dispute resolution and customer service while following AutoHVAC policies and applicable law

Requirements

  • Minimum 5 years of relevant operations-management experience; additional directly related experience will influence post-probation compensation
  • Demonstrated experience managing customer records, inventory, staff workflows, shipping, returns and operational reporting
  • Strong attention to detail and ability to reconcile information across systems, documents and physical inventory
  • Proven ability to supervise employees and subcontractors, delegate responsibilities and hold teams accountable
  • Excellent written and verbal English communication and professional customer-facing judgment
  • Strong organizational, prioritization, problem-solving and follow-through skills
  • Comfort using WordPress/WooCommerce or comparable CRM, order, inventory and reporting systems
  • Ability and willingness to travel throughout the GTA for installation and project-assessment supervision
  • Valid Ontario driver’s licence and reliable transportation
  • Ability to maintain confidentiality and exercise sound judgment with customer and payment-related information
  • HVAC, construction, field-service or technical operations experience is strongly preferred
  • Knowledge of workplace safety, documentation and contractor coordination is preferred
  • Legally entitled to work in Canada
